The information a job sheet normally contains
Typical fields include business details, a unique reference, customer name, job address, dates, requested work, work completed, materials used, time spent, observations and follow-up. Supporting photographs and customer acknowledgement can be included where useful. The exact fields depend on the job and the business process.
Job sheet, invoice or certificate?
An invoice requests payment and shows charges. A job sheet records the work and context. A statutory certificate or inspection document has its own legal and professional requirements. One document does not automatically serve all three purposes, and a customer signature on a job sheet is not proof of compliance or safety.
A simple example
For a cabinet hinge replacement, the requested work might be “replace the damaged lower hinge”. The completed-work section can record the hinge actually replaced and any adjustment made, if those things occurred. Materials might list one recorded hinge. If a second damaged hinge was noticed but not replaced, record it under observations or follow-up, not completed work.
Why trades use job sheets
A job sheet gives customers an understandable record, helps a team hand work over and makes repeat visits easier to prepare for. It also reduces reliance on memory when someone asks what happened months later. The value comes from accurate, specific information — not from making the document longer.
How to write a useful one
Record the basics while the details are fresh. Separate the customer’s request from your actions. Use plain language and include only quantities and results you actually know. Caption photographs. Review spelling, the site address and outstanding items. Keep a copy of the report version you shared.
Paper, a PDF or an app?
A paper template is a sensible starting point for occasional use. A filled-in PDF is easier to read and email.
