Record the visit before writing the conclusion
Begin with the service date, customer, location and the item or area the visit concerned. State the reported issue or requested service without treating that description as a confirmed diagnosis. Give the report a reference that links it to your own job records.
Keep actions, observations and follow-up separate
The action section records work actually performed. Observations describe things you directly noticed. Follow-up identifies work that is still to be considered or arranged. Keeping these separate avoids implying that a recommendation has already been carried out.
Materials and evidence
List parts and consumables you can identify from the job record, including quantities when known. Photos can show relevant visible details before and after a visit, but should not be used to infer hidden conditions. The online generator can include up to four photographs alongside the typed report.
Do not use a general service report as a certificate
Some services require particular records, tests, statutory certificates or professional inspections. This general template does not meet those requirements by itself. Use the appropriate trade-specific process alongside a factual service report when needed.
Review, acknowledge and retain
