Start with the customer and the site
Save a customer once, then keep separate sites for the places you work. Give each job a clear title, requested work and date. Team members see the jobs assigned to them; owners and admins manage the wider business. A unique job reference links the photos, report and customer email.
Capture evidence without rebuilding the story later
Add images from your phone camera or gallery and mark them before, during or after. Captions explain what matters. Record a voice note when typing is awkward, then correct the transcript before using it. Materials and time are simple entries, not invoices or timesheet payroll.
A draft, not a decision
The AI draft separates the summary, work completed, materials, observations, customer requests and follow-up. Missing information is flagged rather than supplied as fact. You remain responsible for checking it against the actual job. The manual editor is always available, including when AI or transcription fails.
A clear handover to the customer
Approval creates a fixed report version with business details and the photos selected for the job record. Capture a signature in person or issue a private remote link. Signing creates another preserved version, so an earlier approved PDF is not silently changed. Sending the approved PDF is a deliberate action, with recipient and delivery status recorded.
Keep the history, not a maze of messages
Search jobs by reference, title, customer, notes or report summary. Return to previous report versions and download their PDFs. Expiring links are bound to one version and can be revoked. Owners can export their business data and use an external backup procedure for the private files.
