A mobile workflow in six clear actions
Add photo. Record voice note. Generate report. Review. Sign. Send. Large, labelled actions put the important steps within reach on a phone. Forms are grouped into small sections rather than relying on a wide desktop table. You can still use a keyboard on a larger screen.
Before, during and after photographs
Keep images in meaningful categories, add a caption and reorder them. Photos are optimised on the server, and thumbnails make the job view lighter. Original metadata such as EXIF location is removed during image processing. If a device’s HEIC format cannot be processed, export the photo as JPEG or choose a supported gallery image.
Notes that survive an AI failure
The app saves the job notes and recordings independently of report generation. If the private AI service is unavailable, your captured work is not thrown away. Write the summary and completed-work list yourself, then follow the same approval and PDF workflow.
A report the customer can actually read
The PDF is A4, with readable text, separate sections, photos and a signature when provided. Page breaks keep the content organised instead of forcing a long mobile screenshot onto paper. Business branding and the job reference help the customer identify the document later.
Work online, handle interruptions carefully
Uploads and saves require a connection. Wait for the saved confirmation before leaving a page, and keep important source photos on your device until the upload is complete. If a save conflicts with a newer edit, the app rejects the stale change instead of silently replacing someone else’s work.
Keep mobile paperwork in its proper place
A mobile job sheet documents the visit; it does not replace the judgement, testing or certification required by your trade. Record observations accurately and separate any outstanding follow-up from completed work.
