Give the generator facts, not a wish list
Add the work requested, your notes about what actually happened, materials and time, captions and any relevant transcript. Select the images you want analysed. Requested work does not count as evidence that work was completed, and unknown measurements should stay unknown.
A consistent report structure
The generator returns a summary, work completed, materials, observations, customer requests, follow-up and missing information. British English and plain language keep the report readable. The sections help you catch an outstanding issue that might otherwise be buried in a single paragraph.
Review is a required part of the workflow
Read every generated statement against your notes and the actual job. Correct technical names and quantities, remove unsupported claims and check the photographs. AI is instructed never to claim safety, certification or compliance, but instructions are not a guarantee of accuracy. You are responsible for approving the final wording.
The report is never sent automatically
Generation produces a draft. Approval creates a fixed version. Signature capture and email delivery are separate actions. An AI response cannot choose a customer recipient or send the report on your behalf. A preserved version records exactly what was approved and, where applicable, signed.
A private, replaceable AI connection
The browser does not receive AI credentials or talk directly to the private Python service. A business admin must enable processing before job information is submitted. The configured ChatGPT session integration uses undocumented behaviour and may fail; a manual report editor remains available. Assess the provider’s terms and data handling before using AI with customer information.
