What a job card is for
A job card follows a piece of work from the initial request to completion. Record the customer, job reference, date and the item or location concerned. If an asset identifier, make, model or serial number matters, add the recorded detail to the requested-work field rather than guessing it.
Using a workshop job card template
At intake, write down what the customer has requested and any condition you can directly observe. As work proceeds, record the actions and parts used. Distinguish customer descriptions from your own observations, and keep outstanding authorisations or follow-up separate from completed work.
A job card is not permission for extra work
Recording a suggested repair does not establish that the customer authorised it. Use your business’s normal approval process for extra work and charges. This template records information and actions; it does not replace an estimate, invoice or contract.
Close the card with an accurate handover
Before sending it, check the reference, description, parts and any incomplete items. Add supporting photos when they make the work easier to understand. If the customer signs, explain that the signature acknowledges the report rather than certifying safety or surrendering legal rights.
